Terms of Service
1. Acceptance of Terms
These Terms of Service ("Terms") govern your use of MatchFlow, a residency operations platform operated by Oroville Hospital Internal Medicine Residency Program ("the Program," "we," "us"). By accessing or using MatchFlow, you ("you," "User") agree to be bound by these Terms.
2. Eligibility and Account Access
MatchFlow is provided for use by authorized users only, including:
- Residents currently enrolled in the Program
- Faculty members affiliated with the Program
- Program leadership (Program Director, Associate Program Director, Designated Institutional Official, Coordinator)
- Applicants invited to interview, for limited recruitment-related functionality
You must use your assigned login credentials and may not share them with anyone. You are responsible for all activity occurring under your account. Notify the Program Coordinator immediately if you suspect unauthorized access.
3. Permitted Use
MatchFlow is provided solely for operational purposes related to the Program, including:
- Resident scheduling and rotation management
- Duty hour logging and compliance monitoring
- Clinical event notifications (admissions, consults, on-call alerts)
- Evaluation submission and review
- Recruitment activities (interview scheduling, ranking)
- Internal messaging and communication
- Procedure logging and scholarly activity tracking
- Program calendar and event management
4. Prohibited Uses
You may not:
- Use MatchFlow for any purpose unrelated to the Program
- Attempt to access data outside your authorized scope
- Share login credentials with any other person
- Upload, transmit, or display content that is unlawful, threatening, harassing, defamatory, or discriminatory
- Attempt to reverse-engineer, decompile, or disrupt the platform
- Submit false, misleading, or fraudulent information (including falsified duty hours, evaluations, or procedure logs)
- Use automated tools (bots, scrapers) to access the platform without prior written authorization
5. Protected Health Information (PHI) and HIPAA Compliance
Users must:
- Use age, sex, and condition descriptors only ("65 y/o with AKI") rather than identifying information (no names, MRNs, dates of birth, or photos)
- Treat clinical notifications, messages, and evaluations as confidential communications subject to HIPAA's Minimum Necessary Standard
- Report any suspected PHI exposure or breach to the Program Coordinator and Oroville Hospital's Privacy Officer immediately
Violations of HIPAA may result in termination of access, employment consequences, and individual liability under federal law.
6. Confidentiality
The following information accessed via MatchFlow is confidential and may not be discussed outside the Program except with authorized personnel:
- Applicant personal information, board scores, and interview ratings
- Program rank order lists and match data
- Resident evaluations (both directions)
- Semi-annual and summative resident assessments
- Clinical Competency Committee (CCC) discussions and outputs
- Internal program leadership communications
7. Phone Notifications
If you opt in to phone notifications, MatchFlow will send alerts to your device through the Web Push protocol when new clinical events occur (admissions, consults, on-call updates). Notifications appear on your lock screen and notification tray even when MatchFlow is closed. Notification content does not contain Protected Health Information. You may revoke this consent at any time in your account settings, your browser's site permissions, or by uninstalling MatchFlow from your home screen. Phone notifications are free; no carrier fees or message rates apply.
8. Content and Submissions
You retain ownership of factual content you submit to MatchFlow (your duty hour logs, your evaluations, your messages). By submitting content, you grant the Program a perpetual, royalty-free, worldwide license to use that content for operational, accreditation (ACGME), and program improvement purposes, including retention as required by accreditation standards.
Evaluations and assessments submitted about residents become part of the resident's official Program record and may be disclosed as required for accreditation, credentialing, licensing, and legal compliance.
9. Intellectual Property
The MatchFlow platform, including its software, design, logo, and content provided by the Program, is the property of Oroville Hospital Internal Medicine Residency Program and its licensors. You may not copy, modify, distribute, sell, or lease any part of the platform without prior written permission.
10. Third-Party Services
MatchFlow integrates with third-party services including:
- Supabase for database, authentication, and edge function hosting
- Google FCM, Apple Push Service, Mozilla Push for encrypted push notification routing
- Netlify for web application hosting
Your use of MatchFlow involves data being processed by these providers under their respective terms and privacy policies. The Program maintains appropriate data processing agreements with these vendors.
11. Privacy
Your use of MatchFlow is also governed by our Privacy Policy, which describes how we collect, use, and disclose personal information.
12. Service Availability
MatchFlow is provided "as is" and "as available." We do not guarantee uninterrupted access. The platform may be unavailable due to maintenance, technical issues, or factors outside our control.
13. Termination
Your access to MatchFlow terminates automatically upon:
- Separation from the Program (graduation, resignation, dismissal)
- Completion or withdrawal of an interview-related role (for applicants)
- Violation of these Terms
Upon termination, the Program may retain your historical data as required for accreditation, credentialing, and legal compliance. You may request a copy of your individual training records before separation.
14. Disclaimers
MATCHFLOW IS PROVIDED "AS IS" WITHOUT WARRANTY OF ANY KIND, EXPRESS OR IMPLIED. THE PROGRAM DOES NOT WARRANT THAT THE PLATFORM WILL BE ERROR-FREE OR UNINTERRUPTED.
CLINICAL CARE DECISIONS MUST NOT BE MADE SOLELY BASED ON INFORMATION DISPLAYED IN MATCHFLOW. ALWAYS VERIFY CLINICALLY RELEVANT INFORMATION THROUGH AUTHORITATIVE SOURCES.
15. Limitation of Liability
TO THE FULLEST EXTENT PERMITTED BY LAW, THE PROGRAM, OROVILLE HOSPITAL, AND THEIR RESPECTIVE OFFICERS, DIRECTORS, EMPLOYEES, AND AGENTS SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES ARISING FROM YOUR USE OF MATCHFLOW.
16. Governing Law
These Terms are governed by the laws of the State of California, without regard to its conflict of laws principles. Any dispute arising from these Terms shall be resolved exclusively in the state or federal courts located in Butte County, California.
Where you have an employment relationship with Oroville Hospital, any dispute resolution provisions in your employment agreement take precedence over this section.
17. Changes to These Terms
We may update these Terms from time to time. Material changes will be communicated via:
- Notification within the MatchFlow application
- Email to your registered email address
- Required re-acceptance during your next login
18. Severability
If any provision of these Terms is found unenforceable, the remaining provisions remain in full force and effect.
